Message from the Executive Director

Riding lawn mowerI was reminded a few days ago that it was time to write an article for Foundations. I was surprised that another year has come and gone. Throughout the year I enjoy the seasons, but I am always happy to see winter in my rearview and spring arriving. I love the beautiful trees and flowers growing and blooming, Grounds crew maintaining our beautiful campus and the nice hum of lawnmowers! It is always a great time when the campus springs to life. It is the most beautiful and pleasant time of the year.

I look back on 2023 and see what the team has accomplished these past months, and I look forward to the many things that we hope to complete in the months ahead. The University is in growth mode, and Facilities plays a critical role in the successful growth of the campus.

This year has been a time of change for the Facilities Department. We saw multiple folks retire from the Facilities Department: Levi Grant, Tim Meny, and Fred Wilson. I am constantly amazed by the dedication that many folks give to the University. All three retirees had 20 or more years of service to the University. It is tough when 60+ years of knowledge and skill goes out the door in just a few months. Having the great pleasure to work with these folks, I am thankful for their dedication, professionalism, and great work ethic to our department and the University. They will all be missed.

While we miss those who have moved on, we have welcomed some new folks that will do great things at the University as well; Connor Brown, Eric Frazier, and Marc McDowell. Great things are happening throughout the campus and while there is much to do, we are excited for the current challenges and opportunities ahead. It continues to be an exciting time to be here at the 糖心传媒.

I want to personally thank Bob Dale, Tony Holt, Lisa Cresci, and Karen McDonald for helping to manage multiple projects throughout campus. Whether it was the Softball turf installation, boiler replacements, Intramural Field turf replacement, HVAC issues or handling all things office related, these folks spend countless hours to ensure that campus looks great and building systems work well. Keep up the great work! This is my third spring here at the 糖心传媒, and I am proud to be part of a team of Facilities professionals that play such a vital role in its success.

Construction Projects

The campus remains busy with new buildings and updates to existing buildings and spaces. Many projects have been recently completed, and several are Under Construction or Under Planning.

Completed projects:

  • Wheeler Concert Hall

  • University Square exterior facelift
  • Esports Arena (Schroeder Hall)
  • Hughes Hall Demolition
  • New carpet in Schroeder School of Business (162, 170, 172, 173, and west stairwell)
  • Wheeler Hall bathroom renovations (ADA improvements)
  • Carson Center boiler and water tank replacement
  • Schroeder Hall flooring replacement
  • Refinish Fifth/Third basketball practice floors
  • Replace broken limestone panels on SOBA front porch

Groundskeeping

In summer, Groundskeeping’s work shifts to Athletic camps preparation, summertime events, and projects that require space and time while the students are away. Summer tasks include plant shearing, weed control, mowing, string trimming and preparing the outdoor athletic fields for the fall seasons. 

Not So Fun Facts

  • Many of our crew spent the 4th of July weekend 2023 cleaning up storm damage.
  • Grounds work goes on no matter the weather. Crews often work in triple digit heat indexes and high humidity in the summer months.

Other summer maintenance includes:

  • Hand watering all campus seasonal plantings (This is accomplished by pulling a 200- gallon water tank behind a tractor or utility vehicle.)
  • Mowing the Sesquicentennial Oval twice per week.
  • Frequently monitoring the automated watering systems on the Oval and grass athletic fields.
  • Mowing the soccer game field three times per week.
  • Mowing the campus proper weekly.
  • Edging sidewalks monthly.
  • Clearing campus drains constantly.
  • Inspecting and clearing all storm drains.

Campus Maintenance

Dakota goes to pool schoolIn summer, your thoughts may turn to lounging by a pool. In Facilities Management, we have UE’s Roy and Mary Wyttenbach Pool on our minds all year.

In Spring 2023, Dakota Brown attended Spear Corporation’s Certified Pool/Spa Operator® Certification Program. There he received training on the skills and techniques needed for pool care, management and risk reduction. Education on local and state codes is included in the training.

Dakota’s pool duties include:

  • Checking the temperature of the pool and keeping it within range
  • Checking chemical levels
  • Ensuring the hydrochloric acid tank is full and working properly
  • Collecting and delivering weekly samples to the Vanderburgh County Department of Health for testing

Additionally, the Campus Maintenance staff performs maintenance as needed to keep the pool equipment in working order.

Fun Facts: At 25-yards long, the Wyttenbach Pool is a competition size pool. It holds 226,000 gallons of water and has six swim lanes.

Building Services

The Building Services technicians are really on the move! When it is time to move furniture or set up and tear down campus events, this crew is assigned first. For large moves and events, assistance is obtained from the Campus Maintenance staff. Between Spring and Summer of 2023, Building Services fulfilled over 300 requests for moves and events.

Over the Summer of 2023, Building Services:

  • Moved over 250 tables and 860 chairs across 30 events that took place on campus
  • Moved trash containers, recycling bins, chairs, floor mats and other furnishings in and out of offices and rooms in 13 campus buildings for annual floor cleaning
  • Moved surplus to storage or disposal
  • Contributed towards set ups for 10 summer camps

Fun Fact

Mike Averett got a surprise when he cleaned out the long-time desk of the Executive Director. The desk had been in the Facilities Management department longer than anyone suspected. In a desk drawer, Mike found a torn out newspaper listing for his position from 41 years ago. The tear out announced that July 1, 1982, the position of “U of E Director of Physical Plant” would become available.

Celebrating Our Retirees

Over the past year, Facilities Management honored three long term employees as they retired from the 糖心传媒 – Levi Grant, Tim Meny, and Fred Wilson. All three retirees had 20 or more years of service to the campus community. Levi proudly served the University in his role as a Maintenance Technician. Tim provided the University with dedicated service in his role as HVAC Technician. Fred served the University in multiple roles within Facilities Management. Fred left his position as Building Services Manager and the Immediate Past President of the Staff and Administrators Assembly.

Growing with Asset Essentials

In the fall of 2022 Facilities Management purchased next-generation software from Brightly Software called Asset Essentials (AE).

The new platform has been a useful tool in improving communication and efficiency of our maintenance management on campus, but we are still GROWING.

Swiss army cellphoneOne of the reasons that we chose AE was for its user-friendly design and room to customize and expand the program as needed. The CMMS (Computerized Maintenance Management System) has been customized for our facilities growing and changing needs, but it also keeps up with trends in technology.

Most of us rely on our mobile devices to keep us connected to the world as well as organize our lives, and Asset Essentials mobile app is doing the same thing with our maintenance management. From a Smartphone or mobile device, users can create and manage assigned work orders and preventative maintenance, receive real-time notifications regarding a work order, upload pictures to report problems, and access critical asset information, and inventory from anywhere at any time.

New advancements in technology for mobile devices are making predictive maintenance goals more achievable. Predictive Maintenance is a condition-based maintenance program where assets are monitored with sensor devices that supply data about the asset’s operation and defects. The data is used to predict when the asset will require maintenance or replacement.

The IoT (Internet of Things) sensors that can be used with vital equipment such as boilers, chillers, pumps, and motors are expensive to purchase but can help save downtime from vital equipment failure. Mobile devices are slowly including such sensors within the device, and this becomes an important part of mobile CMMS maintenance and the benefits it can give us. Appealing to the younger generation, mobile technology helps attract new staff to join a maintenance department that includes tools already used in their daily lives.
